Per-Word, Per-Hour, Per-Project: Converting Freelance Writing Rates

A $0.50-per-word project at $30.30 per hour

Illustrative project: a 2,000-word article at $0.50 per word pays $1,000. If research, interviews, drafting, fact-checking and revisions take 33 hours in total, the gross effective rate is $30.30 per hour.

A lower per-word fee can produce a higher hourly return only if the total time per finished word is sufficiently lower. Compare all project hours, not just drafting speed.

A per-word price determines the fee for a given billable word count. To compare that fee with an hourly target, also estimate total project time and any direct costs. Reconcile the estimate with recorded hours after delivery.

The conversion, both directions

Define production speed as finished billable words divided by all project hours, including research, meetings, editing and revisions.

Per-hour to per-word. Take your target hourly rate and divide it by the words you can finish in an hour:

$75/hour ÷ 500 words/hour = $0.15 per word

At an assumed 500 finished words per total project hour, $0.15 per word corresponds to $75/hour before costs and tax. A speed measured only while drafting does not support that comparison.

Per-word to per-hour. Reverse it. Multiply the per-word price by your real output:

$0.50/word × 60 words/hour = $30 per hour

At 60 finished words per total project hour, the assumed $0.50 rate produces $30/hour. The 60-word input is a scenario, not a measured rate for technical or researched writing.

Test different total production speeds

The following assumed production speeds show how one per-word fee produces different hourly outcomes. They are sensitivity examples, not measured averages for these types of writing.

The assumed $140/hour and $18/hour outcomes differ by a factor of 7.78. That follows from the selected speeds, not from a claim that one writing category inherently pays more. Compare each result with your own target and include project costs before judging profitability.

If you’ve never pinned down your real floor — the hourly number these conversions have to clear — it’s worth running your true hourly rate before you accept another per-word quote. You can’t tell whether $0.20 a word is good until you know what hour of your time has to earn.

The number that lies: drafting speed vs. true effective rate

The same issue appears when a quote counts drafting time but omits the rest of the project. Include research, calls and revisions in the denominator.

Take a 1,200-word researched blog post at $0.25/word — a $300 fee. Watch the hours stack:

Drafting alone — 3 hours for 1,200 words — looks like 400 words an hour, which feels like $100/hour at this price ($300 ÷ 3 hours of “writing”). But the true effective rate divides the fee by every hour the job consumed:

$300 ÷ 10 hours = $30 per hour

For this example, using drafting hours alone reports $100/hour instead of $30/hour. The latter is 70% lower. The difference is specific to the seven non-drafting hours in this scenario; it is not a universal loss percentage for researched writing.

Converting to a per-project price that protects your hourly

A project fee can be built from expected time, but it still carries the risk that actual hours differ. For an illustrative 1,500-word article, choose a $75/hour gross revenue target and estimate the whole assignment:

Estimate the whole job, not the drafting:

  • Research: 3.5 hours
  • Outline: 0.5 hours
  • Draft (1,500 words ≈ 400/hr): 3.75 hours
  • Edit + fact-check: 1.5 hours
  • Two revision rounds: 2.0 hours
  • Total: 11.25 hours

11.25 hours × $75 = $843.75. A chosen $875 flat fee is $0.5833 per word and $77.78 per expected project hour. At $0.20 per word, the same 1,500 words would pay $300, or $26.67/hour at 11.25 hours. The $875 fee preserves the $75/hour target only up to $875 ÷ $75 = 11.67 hours, before direct costs. More revisions or research can move it below the target.

When to refuse per-word and quote per-project instead

A per-word offer is easier to evaluate when the billable word definition, research scope and revision allowance are clear. It can also cover complex work, provided the fee and scope account for that effort. Compare a project quote when word count does not track the main tasks.

Consider these scope questions before choosing the pricing unit:

  • Research-heavy work, where reading and interviews dwarf the writing. The word count no longer tracks the effort.
  • A short, high-stakes deliverable — a 300-word homepage hero, a tagline, an executive summary. The value is in the thinking, not the volume. Compare the total fee with the time needed for research, alternatives and approval.
  • Strategy bundled with writing — a content brief, an SEO plan, a messaging framework. None of that is words on a page, and per-word pricing makes it invisible.

When research and revisions make time per finished word unpredictable, compare a project fee with an explicitly scoped per-word offer. Neither method guarantees a better result. Limit revisions and define what counts as a billable word before comparing the effective hourly rate.

Reconcile the quote after delivery

Track all project hours, the final billable word count, fee and direct costs. Compare the actual effective rate with the estimate, and record which task caused a difference. This evidence can improve the next quote without promising that a particular pricing model will perform better.
